The type of personal information we collect 

We currently collect and process the following information:

• Names of our customers, suppliers and other business contacts

• Contact information (such as email addresses, phone numbers, and addresses)

• Customer staff (appointment holder) names

• Financial information (such as bank account details, invoices, and payment records)

How we get the personal information and why we have it

Most of the personal information we process is provided to us directly by you for one of the following reasons:

• To identify, contact, and support customers in the provision of our services

• To store and display to your organisation the names of appointment-holders within your organisation

We share appointment-holder names with our cloud data storage providers, AirTable.

We use Sage accounting software to manage our financial records, process transactions, generate invoices, and maintain accurate accounting records for our business operations.

Under the UK General Data Protection Regulation (UK GDPR), the lawful bases we rely on for processing this information are:

How we store your personal information 

Our company retains information (appointment-holder names) stored with Airtable, a cloud storage provider, for as long as it is necessary to fulfil the purposes for which it was collected or as required by applicable laws and regulations. We regularly review and assess the data stored in Airtable to ensure that only necessary and relevant information is retained. Upon the expiration of the retention period or upon request for data deletion, we will securely delete or anonymize the data in accordance with our internal policies and procedures. Exceptions to this retention policy may occur in cases where legal or regulatory requirements mandate a longer retention period or in instances where data is needed for ongoing business operations or legal proceedings.

Our company retains accounting data, including financial records, invoices, and payment records, for a period of seven years in accordance with legal and regulatory requirements. This retention period is necessary to comply with tax, auditing, and financial reporting obligations. After the retention period expires, accounting data will be securely deleted or anonymized in a manner that ensures the protection of personal information. Any exceptions to this retention period will be evaluated on a case-by-case basis, taking into consideration legal requirements, contractual obligations, and business needs.

Your right to object to processing - You have the the right to object to the processing of your personal information in certain circumstances.

Your right to data portability - You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
